4. Customer Referral (Customer Rewards)

This section explains how we process personal data when an existing ÉireShine customer refers a friend through our Customer Rewards programme.

What we collect

• Referring customer: name, Eircode, phone, (optional) email.
• Referred friend (new customer): name, phone, (optional) email, service address, (optional) Eircode, booking preference, free-text notes.
• Operational data: single-use referral code, timestamp, and basic anti-fraud/audit logs (e.g., whether a code has been used).

Why we use it (lawful bases)

• Legitimate interests – to administer the referral, verify eligibility (new residential household in County Wexford), prevent misuse, and credit the referrer.
• Contract / steps prior to contract – to provide quotes, schedule, and perform the requested cleaning service.
• Consent – only where someone opts in to marketing communications (can be withdrawn at any time).

How we use it

• Validate the referral code (single-use; one code per friend) and confirm eligibility.
• Apply 30% off to the friend’s first window clean and add the referrer’s €20 credit after that invoice is paid (credits are stackable, not cash).
• Contact the referrer and/or friend to arrange the booking and provide service updates.
• Detect and prevent fraud or misuse (e.g., attempts to reuse a code).

Who we share it with

We share personal data only with our service providers (hosting, email, and any booking/scheduling provider we use) acting under contract as processors. We do not sell personal data.

International transfers

If any processor stores data outside the EEA, we use lawful transfer mechanisms (e.g., EU Standard Contractual Clauses or an adequacy decision) and appropriate safeguards.

Retention

• Referral submissions and anti-fraud logs: up to 12 months after the promotion ends.
• “Used code” records: up to 24 months to prevent reuse and resolve disputes.
• Customer/service records arising from a completed job: retained per legal/tax requirements (typically up to 6 years).

You can exercise your GDPR rights (access, rectification, deletion, restriction, portability, and objection to legitimate-interests processing) as described elsewhere in this policy.
